Last updated: 8 October 2026

Your privacy matters to me. This policy explains what personal data I collect through www.vanessaarends.com and through my coaching services, why I collect it, how I protect it, and what rights you have under the EU General Data Protection Regulation (GDPR).

1. Who is responsible for your data

The data controller is:

When you browse the site, your IP address, browser type and pages visited may be processed through Google Analytics and Google Tag Manager. This only happens if you accept analytics cookies in the cookie banner.

  • Purpose: understand how the site is used and improve it.
  • Legal basis: your consent (Art. 6(1)(a) GDPR).

Contact and booking forms

When you use the contact form on my website (hosted by Webnode) or book a session through Calendly, I collect your name, email address and the message or booking details you provide.

  • Purpose: reply to your enquiry and arrange sessions.
  • Legal basis: steps taken at your request before entering a contract, and performance of a contract (Art. 6(1)(b)).

If you subscribe to my newsletter through Substack, I receive your email address and subscription details.

  • Legal basis: your consent (Art. 6(1)(a)). You can unsubscribe at any time using the link in every email.

  • Legal basis: your consent (Art. 6(1)(a)).

Coaching clients

If you become a client, I collect:

Sensitive information. Coaching conversations can touch on health, wellbeing, relationships or beliefs. This is "special category" data. I only process it with your explicit consent (Art. 9(2)(a) GDPR), which I ask for in the intake form. You can withdraw that consent at any time, although this may mean I can no longer continue coaching you.

Payments

Payments are handled by Stripe and PayPal, or by bank transfer. I do not see or store your full card details.

  • Legal basis: performance of a contract and legal obligation.

Some providers, such as Google, Microsoft, Substack, Calendly, Stripe and PayPal, may process data in the United States. Where this happens, I rely on safeguards required by the GDPR, such as the EU-US Data Privacy Framework or Standard Contractual Clauses.

Terms & Conditions

Last updated: 8 October 2026

These Terms & Conditions apply to your use of www.vanessaarends.com and to any coaching services or products you buy from me. By using the website or booking a service, you agree to them. Please read them alongside my Privacy Policy and Cookie Policy.

1. Who I am

Vanessa Arends (sole trader) C/Reventon, 35310, Las Palmas de Gran Canaria, Spain. Email: info@vanessaarends.com

In these terms, "I", "me" and "my" mean Vanessa Arends, and "you" means the person using the website or buying my services.

2. My services

I offer one-to-one coaching, delivered online through Microsoft Teams, and, in the future, digital products sold through this website. The details of each service, including the price and number of sessions, are given before you book or pay.

3. What coaching is and is not

Coaching is a collaborative process that supports you in clarifying goals and taking action. It is not therapy, counselling, medical advice, legal advice or financial advice, and it does not replace any of these. If you are experiencing a mental health difficulty or crisis, please contact a qualified professional or your local emergency services.

I can support your process, but I cannot guarantee particular results. Your progress depends on your own choices and actions, and you remain responsible for the decisions you make.

4. Confidentiality

Everything you share with me in sessions is confidential. I will only disclose information:

  • with your consent;
  • where the law requires me to; or
  • where I believe there is a serious risk of harm to you or to others.

Please see my Privacy Policy for how I store and protect your data.

5. Recordings

Sessions are not recorded unless you ask for it or agree to it in advance through Microsoft Teams. Recordings are for your use and my coaching records only. You must not share or publish them, or any part of them, without my written permission.

6. Booking and payment

  • Sessions are booked through Calendly or by arrangement with me.
  • Prices are shown in euros and include any taxes that apply, unless stated otherwise.
  • You can pay by Stripe, PayPal or bank transfer. Payment is due on the dates stated when you book.
  • I may pause sessions if a payment is overdue.

7. Cancelling and rescheduling

Cancelling your coaching agreement. You or I may end the coaching agreement in writing (by email or letter), giving at least 7 clear days' notice before the end of the month. If you owe money at the time of cancellation, any outstanding payment becomes due immediately. Once the agreement ends, I am no longer responsible for providing further coaching sessions.

Rescheduling sessions. Please give at least 24 hours' notice to reschedule a session. Sessions cancelled with less notice, or missed without notice, may be charged in full.

8. Satisfaction and refund policy

Your satisfaction matters to me. If you are not satisfied with your coaching programme, you will receive a 100% refund if you cancel before the start of your second session. Refunds are processed within 14 days of approval, using the same payment method where possible.

9. Your right to withdraw (consumers in the EU/EEA)

If you are a consumer in the EU or EEA, you have the right to withdraw from a distance contract within 14 days of signing it, without giving a reason. To do so, email info@vanessaarends.com with a clear statement that you wish to withdraw.

If you ask me to start the coaching sessions within that 14-day period, you will need to pay for the sessions already delivered up to the moment you tell me you wish to withdraw. Where my refund policy in section 8 is more generous, that policy applies.

Digital products. Once you have received access to a digital product and have expressly agreed that I may start delivering it immediately, you lose your right to withdraw. This is stated clearly before you buy.

10. Intellectual property

All content on this website and in my materials, including text, images, worksheets, resources and recordings, belongs to me or is used with permission. You may use it for your own personal, non-commercial purposes. You may not copy, resell, distribute or republish it without my written permission.

11. Using this website

You agree to use the website lawfully and not to interfere with its security or operation. The website may link to third-party services, such as Calendly, Typeform and Substack, which have their own terms and privacy policies. I am not responsible for them.

12. Liability

I will provide my services with reasonable care and skill. I am not liable for losses that were not reasonably foreseeable, or for results that depend on your own actions. Nothing in these terms limits liability that cannot be limited by law, including liability for death or personal injury caused by negligence, for fraud, or your mandatory rights as a consumer.

13. Complaints

If you are unhappy with any part of my service, please email info@vanessaarends.com. I will reply within 48 hours and do my best to resolve the issue.

14. Changes to these terms

I may update these terms from time to time. The version in force when you book or buy applies to that purchase.

15. Governing law and jurisdiction

These terms are governed by Spanish law, and the courts of Las Palmas de Gran Canaria have jurisdiction. If you are a consumer living in another EU country, such as Denmark, you keep the protection of the mandatory consumer laws of your country of residence, and you may also bring a claim before the courts there.

16. Clients in the United States

If you are based in the United States, these terms still apply. By booking, you agree to resolve any disputes under Spanish law, subject to any rights you have that cannot be waived under the laws of your state.
